About This Submission

We send this form to new customers when we open an account, and once a year to existing customers so our records stay accurate.

1. Company Details

As registered with Companies House, so our records, contracts and invoices match your legal entity.

Just confirm your company name below, then complete the declaration at the bottom of the page.

2. Sites & Locations

Where your people work, so we can plan support coverage, engineer visits and site documentation.

Main operating site address

Include opening hours and any access restrictions (site induction, escorted access, key holders) so engineer visits run smoothly.

3. Key Contacts

The people we will deal with day to day. You can change these at any time once your account is live.

Primary contact

Our main day-to-day point of contact for the account.

Technical / IT contact

Anyone internal who looks after IT, even part time.

Senior / escalation contact

Who we escalate to if something significant goes wrong, and who attends service reviews.

Out-of-hours / emergency contact

4. Authorised Approvers

Who may instruct us on your behalf. This protects you: we will not act on requests for new users, licences, purchases or access changes from anyone not listed here.

“Authorised for” examples: new starters and leavers, licence changes, hardware purchases, access to another user's mailbox, out-of-hours work.

5. Billing & Payment

So invoices reach the right person, in the right format, first time.

Billing address

Invoices are sent by email to your billing contact, and are always available to download from your client portal.
Monthly invoices are issued around the 26th of each month.

Payment by Direct Debit

Direct Debit is our standard payment method — it removes chasing and late-payment admin for both of us, and it is protected by the Direct Debit Guarantee. We will email a secure mandate link to your billing contact once your account is opened.

6. Service Requirements

How you want to be supported, and what must never go down.

Tickets are logged through our customer portal, on the web or straight from Microsoft Teams. It is the quickest route to an engineer and it captures the right detail up front, so we can resolve things more efficiently. We will set your team up on it during onboarding.

Typically directors, or anyone whose downtime stops others working. Anyone you have already named in Key Contacts or Authorised Approvers can be picked from the list rather than re-typed.

7. Business Applications

The software your business runs on. We need to know who supports each one so we can work with them, not around them.

Include line-of-business systems, finance, CRM, payroll, HR, CAD, EPOS, stock control — anything that would stop work if it broke.

8. Security, Compliance & Insurance

This shapes the controls we put in place and any evidence we need to provide for your auditors or insurer.

9. Transition from Your Current Provider

So we can plan the handover and avoid a gap in support or a double bill.
